Event and Marketing Coordinator

Wellbeats, a Lifespeak Company is seeking a full-time Event and Marketing Coordinator to join our team. This role will own and manage a key component of our marketing strategy, the extensive corporate and wellness conference and event plan. The Event and Marketing Coordinator will be responsible for activating all details to create a seamless, organized, high-quality experience in support of the company’s lead generation and sales goals. The Event and Marketing Coordinator will report to the Marketing Director, working closely with the marketing, creative, and sales teams as well as vendor partners to deliver on event objectives and strategies.

Key Qualifications

  • Research and tracking of events in our space to support strategic recommendations of events to sponsor or attend
  • Management of annual event budget and payments
  • Recommendation, development, and implementation of effective marketing plans for maximizing event opportunities for lead generation
  • Coordinate and manage event logistics: 
    • Liaise with external partners throughout planning process 
    • Manage all event timelines and deliverables
    • Staffing plans
    • Partner with key internal stakeholders to ensure delivery of responsibilities on time
    • Ensure all event activation details are completed including attendee registration, hotel/transportation coordination, identification and delivery of booth items and support equipment, event-specific tools (i.e., show apps, lead captures etc.) and any other show-specific needs
  • Supervise the production and delivery of marketing collateral in a timely manner for all events (handouts, brochures, promo items etc.)
  • Launch and manage warehousing partner, creating recommended booth kits and managing relationship for on-time and accurate deliveries
  • Identification of custom event needs, partnering with Marketing and Creative team to develop
  • On-going discovery of new and improved booth collateral, swag, signage, or experience opportunities
  • Work with brand marketing team on development of speaking opportunities at events 
  • Identify additional engagement opportunities and attendee experiences that support awareness and engagement with our product/brand
  • Work with Marketing Manager and Marketing Director to track event KPI’s and feedback to inform ROI and success measurements 
  • Work with sales team to identify relationship and key external partner attendance to coordinate custom meetings, receptions, or other special events 
  • Coordinate event advertising with social media team, across channels
  • Coordinate staff briefings and post-event follow-ups
  • Ownership of annual planning document, working with key stakeholders for planning and budget approvals
  • Other marketing support as needed including regular competitive tracking and assigned projects
